Privacy Policy
Prod.AI LTD ("Prod.AI", "we", "us") is the data controller for personal data collected through prodai.co.uk and the Prod.AI iOS and Android apps. Prod.AI means Production Assistant Interface — a production management platform, not a generative AI chat or assistant product.
Third-party AI services
The current Prod.AI apps do not send your personal data to third-party generative AI or large-language-model services (such as OpenAI, Anthropic or Google Gemini). We do not use those services to process your profile, crew, call sheet or invoice content.
If you use keyboard dictation on your device, speech recognition is handled by your phone or tablet's built-in operating-system keyboard. We do not receive or transmit dictated audio to third-party AI services for that feature.
Personal data is processed to run the service through our infrastructure and service providers, including Supabase (authentication and database hosting) and, where you enable them, push notification delivery via Expo. User-initiated emails (for example call sheets) are sent through our Supabase edge functions.
If we introduce AI features in a future release, we will update this policy, explain what data is sent, identify the provider, and ask for your permission in the app before any new sharing begins.
Data we collect
Depending on how you use Prod.AI, we may process:
- Account details such as name, email address, phone number and password credentials.
- Profile and production information you add, including roles, crew details, call sheets, documents and invoices.
- Files you upload, such as avatars, photo ID and supporting documents.
- Technical and security data needed to operate sign-in, prevent abuse and keep the service reliable.
How we use your data
We use personal data to:
- Create and manage your account.
- Provide production workflows you choose to use in the app.
- Share profile information with productions and teams you join or accept.
- Send service-related messages, security notices and support responses.
- Meet legal, accounting and compliance obligations.
Lawful basis (UK GDPR)
We process personal data to perform our contract with you, for our legitimate interests in operating a secure production platform, and where required to comply with law. Where we rely on consent, you may withdraw it without affecting processing that is required to provide the core service.
Website sign-in (Supabase)
When you create an account or log in on prodai.co.uk, authentication is handled by Supabase. That process uses essential browser storage and security tokens so you can sign in safely. This is not used for advertising or website analytics.
Crew and project visibility
Your profile remains private until you accept being added to a crew or production. Acceptance authorises us to share the relevant profile details with that project's managers. We do not expose your profile to unrelated productions unless you accept their invitation too.
Profile sharing
You can share your profile with another person in the app, or invite someone by email. Inviting by email creates a private, revocable link to a limited public preview of your profile (your name, primary role, city, a short bio and photo) so the recipient can decide whether to join Prod.AI. You may optionally choose, per invite, to also include your phone number and email address on that preview; this is off by default. The link never exposes your financial or identity details, and you can revoke any share or invite at any time from the app, which immediately disables the link.
Retention and deletion
We keep account data while your account is active and for a reasonable period afterwards where required for legal or operational purposes. You may delete your account in the app or request deletion by emailing hello@prodai.co.uk. See also Delete your account.
Your rights
You have the right to access, rectify, erase, restrict or object to certain processing, and to data portability where applicable. Contact us at hello@prodai.co.uk and we will respond within applicable time limits.
Complaints
If you are unhappy with how we have handled your personal data, you can make a complaint to us at hello@prodai.co.uk. We will acknowledge your complaint within 30 days of receiving it and respond without undue delay.
You also have the right to complain to the Information Commissioner's Office (ICO), the UK supervisory authority for data protection, at ico.org.uk/make-a-complaint or by calling 0303 123 1113. We would, however, appreciate the chance to address your concerns before you approach the ICO.
